Why Should You Use an Online Fax Service? Here's Why
Share: Why Should You Use an Online Fax Service? Here's Why
Online faxing is becoming more and more prevalent with each passing year. The question you have to ask yourself is, is it right for you? Truth be told, it probably is. There are a lot of benefits to online faxing, far more than there are disadvantages.
For starters, online faxing is far more environmentally conscious and just less wasteful in general. No matter how sparingly you use a fax machine, you'll never be able to completely control how much paper and ink it uses, especially if you get a lot of spam faxes. Printed faxes tend to come out looking pretty horrendous anyway, another thing eliminated when faxes are sent over the internet.
Online faxing is just far more convenient, as well. If you're not exactly tech-savvy, lots of machinery can be somewhat befuddling especially when it breaks down. With online faxing, however, jammed fax machines are a thing of the past. Connection issues aren't an issue either, unless you're internet is down, a problem that typically can be fixed in no time.
Another advantage is the level of security online faxing can offer. Many people don't know this, but online faxing is usually more secure than regular faxing.
Many fax machines these days are built as part of a printer/copier combo. It was revealed to the general public earlier this year that since 2002 copy machines have been built with hard drives, which, like the kind in computers, store digital copies of anything Xeroxed or faxed. Which means that anything you might send (or receive) through your company's fax machine private documents like a driver's license or birth certificate, for example will be saved to that drive and viewable by those who has access to it. Similarly, you might end up leaving sensitive documents in the fax tray by mistake, in which case they can be seen by anyone who comes across them. Because this doesn't occur to people, even now that they know about the hard drives, machine combos have been helping increase the number of identity thefts at an alarming rate. Worse still, many companies lease out or sell old copy/fax machines when they buy new ones, which means to whomever they sell the machines will have access to that personal information as well.
When you send faxes by e-mail, you're keeping whatever you fax between the e-mail accounts it's sent to. You can also encrypt your faxes so that only you and the recipient can view them, and, as you know, with Wired Fax you can transfer your current fax number to your online account, so your employer doesn't even need to know you've switched to online faxing.
Keep all this in mind as you decide whether or not you should start faxing online how much time and grief it could save you, both in the long run and right away.
