Let everyone know you're moving
When you're moving your business to a new location, it can be a challenge to get the word out. Customers, employees and business affiliates need to know beforehand that you plan on relocating.
Remember to change your address in all of the small business details. Update your address with your new business location on letterheads, fax cover sheets, bank checks, invoices, business cards and anything else that is branded with your old business address. At first, only print a small amount until all of the moving information such as fax and phone numbers have been finalized. Once you have moved and they have been verified, you can print more copies with the final contact numbers.
You also need to inform utility companies, banks, your local tax office and insurance company of your move. When contacting the insurance company, you should be checking to find out what is covered during your move.
Customers need to know about your move too. It's a good idea to inform your customers of your new business location and when you plan on being there as soon as you find out. Use mail and online databases to send out notifications to customers. If you have a business newsletter, include reminders there.
Preparing to move your office
Aim to start planning for your business move at least 4 weeks in advance. Start by cleaning out the office of items you no longer need. Shred old files and documents that are no longer important and dispose of old office equipment.
Remember to back up all important documents and files on your computer with CDs or portable hard drives as a precaution. Even if you don't end up needing to use the back-up files, it's a good step to ensure nothing important is lost during the move. Store these files in a safe place and keep them with you during the move.
Packing your business before the move
Before you start packing, make sure you have all of the necessary supplies such as boxes, packing tape and protective wrapping. When you hire a moving company, they can usually provide you with these boxes, as well as professionally pack your business to ensure everything is delivered safely to the new business location.
Pack the office according to priority. Phones, fax machines and computers are probably high in importance, so pack them last and unload them first once you arrive. Mark boxes according to the items they contain as well as the priority they need to be unpacked. This makes it easier to keep track of everything and it lowers the amount of down-time you will experience in your day-to-day business operations.
When you decide to change business locations, the amount of time you spend planning and preparing will determine the amount of stress and interruptions in your regular business day.
