How many people will be attending?
What is the budget?
Are there any dietary restrictions?
Where will the event be located?
Will the meal be a sit down affair or buffet?
All of this information and more should be gathered for the quote you will prepare for the client.
Learning to properly budget and bid a project is the key to success when learning how to run a catering business. A client who only has a few hundred dollars to spend on a large party can't have a menu of fine cut steak and caviar - no matter how much they want it. Always ask for their budget up front and be sure to plan a menu according to what the client can afford.
Once the initial information has been gathered, it is a wise idea to schedule a tasting as soon as possible. This way, the client can finalize the menu. When doing a client tasting, prepare small samples of the dishes they asked for, but also prepare a few samples of other items just in case they don't like their original choices. You can save a client by presenting them with options if they happen to not enjoy your steak tartar!
When the client is locked in, plan your prep times, staffing needs, transportation logistics and cleanup plan. Make sure the proper amount of staff is hired and ready to go, and be sure to keep plenty of people around to help cleanup.
