How Can Video Conferencing Aid The Modern Business

At one time, the concept of video conferencing was little more than a science-fiction pipe dream

. As we all well know today, web conferencing tools are very much a reality. They are also being integrated into the information systems of many businesses. From the largest corporations to start up small businesses, web conferencing systems certainly are available.

How do these systems work and can they provide a great benefit to your own business venture? Here is a brief look at the concept of such conferencing systems.

In the early days of video conferencing, such systems were quite crude. The concept dates back to the 1970s when people considered running closed circuit television hookups for business purposes. Such a concept really never worked for the obvious reason - cost. In time, successful plans for combination television/telephone systems were designed but they never really got off the ground despite a two decade long attempt to launch such systems. Again, cost was a factor.

Much of this changed with the advent of the internet. Video conferencing tools and software quickly were developed and caught on quite quickly. The earliest versions were basically weak webcam broadcasts. In time, private video streaming channels were developed. (The privacy component was instituted for several reasons with preventing unauthorized access being one of them) These channels had the highest levels of picture and sound quality and came with many excellent functions designed specifically for the purpose of running a meeting. Such systems were not exactly user friendly and did require the aid of an engineer to setup and oversee the broadcasts.

Today, there are many less complicated and more streamlined options for web video conferencing. Software programs can effectively integrate a basic webcam into a highly effective modern day closed circuit television channel. Such video channels can then be used to coordinate meetings and conferences with relative ease. In many ways, they can make the world a much smaller place. How is this so? Basically, groups of people can connect with conferences from all over the world in no time at all and with relatively small costs.

The impact of this on a business can be tremendous in many ways. Basically, when you are able to meet and communicate in an easy manner, the potential to expand your business ventures is increased. This is why so many businesses will look towards integrated such software and web conferencing programs into their operations.

Once again, such programs are not merely webcam broadcasts. There will be software concepts that can integrate various other software solutions into the mix such as chart or power point presentations. These additional items create a "you are there" type feel that turns the video conference into a virtual meeting. Granted, the virtual meeting is not really all that virtual - it is a real meeting!

The software also eliminates the need for an engineer and a closed circuit streaming channel in most instances. However, highly elaborate setups that may involve satellite transmissions would certainly require professional production oversight. Of course, the only entities that can handle the budget of such a process would be major corporations, universities, etc. Small businesses probably would not become involved in such elaborate ventures for basic business to business communications.

This does raise a few questions as to why such conferencing software has not proven to be popular with smaller business. There are a few reasons for this and probably the most common would be small businesses may be unaware of the availability of web conferencing tools. When a business is relatively small in scope, its personnel will be stretched thin in terms of the various responsibilities that they perform. This reduces much of the time they may have to invest in researching information systems and communications. So, they do not even know such programs are out there or how effective they are.

Also, many small businesses assume they cannot budget for such systems. Such an assessment really is not all that accurate because there are so many web conferencing systems out there it is likely that one can be found to meet a small business' budget. But, if the business is not going to take the steps to learn of such a service's existence, then it cannot take advantage of the benefits.

Video conferencing is an ever evolving entity. In time, what is considered cutting edge today will end up being old technology. That means the world of web conferencing still has many unique things to offer.
